How to Use Microfibre Cloths Properly in Commercial Cleaning
Ask any of our cleaners what one piece of kit they would refuse to work without, and it is not the vacuum or the buffer. It is a stack of clean, colour-coded microfibre cloths. We get through thousands of them a year across offices, surgeries and care homes in Gloucestershire, and after two decades of watching them out-perform cotton rags, paper roll and every gimmick that has come and gone, we have strong opinions about how they should be used. This is the version we teach new starters on their first shift.
What microfibre actually is, and why it grips dirt
Microfibre is a woven blend of polyester and polyamide, split during manufacture into filaments finer than a strand of silk. A single fibre is roughly a hundredth the width of a human hair. That splitting is the whole trick. It turns a smooth thread into a mass of tiny hooks and channels, so one cloth carries an enormous amount of surface area and a mild positive electrostatic charge.
Dust, grease and bacteria carry a slight negative charge, so the cloth pulls them in and holds them rather than smearing them around. A cotton rag pushes a film of grime from one end of the desk to the other. A good microfibre cloth lifts it off the surface and traps it in those channels until you wash it out. The difference is obvious the first time you wipe a glass partition and see no streak and no lint left behind.
Not all microfibre is equal, though. The weight is measured in grams per square metre, or GSM. A thin 200 GSM cloth is fine for glass and mirrors. A dense 300 to 400 GSM cloth holds far more water and is what you want for kitchens, worktops and anything greasy. Cheap supermarket cloths are often 80 to 150 GSM with a low split ratio, which is why they feel slippery, shed fluff and stop absorbing after a month. We buy heavier commercial-grade cloths on purpose, and the cost per wipe works out lower because they survive hundreds of laundry cycles.
Colour-coding: the part that keeps people safe
The single most important thing we do with microfibre is never let a cloth cross between zones. We run the standard British colour code on every contract, and it is not optional. Red is for toilets, urinals and the floor around them. Blue is for general low-risk areas such as desks, meeting rooms and reception. Green is for kitchens, tea points and food-preparation surfaces. Yellow is for washbasins and clinical or infection-sensitive surfaces.
The reason is simple and slightly grim. A cloth that has wiped a toilet rim is carrying faecal bacteria whether it looks dirty or not. Use that same cloth on a boardroom table an hour later and you have moved E. coli onto a surface where people rest their hands and their lunch. Colour-coding removes the guesswork, especially at 6am when a tired cleaner is moving fast. In our care home cleaning work the code is a matter of resident safety and CQC scrutiny, so we audit it hard. The habit is just as valuable in an ordinary office kitchen.
To make it stick we issue cloths in pre-counted colour bundles, hang a laminated code card in the cupboard, and colour-match the buckets and mop heads to the cloths. When everything on the trolley agrees, mistakes drop to almost nothing.
Damp, dry and folded: getting the technique right
Most of the cleaning power in a microfibre cloth is wasted by poor technique, so this is where we spend real training time.
Dry, the cloth is a dust magnet. Run it over a monitor, a windowsill or a skirting board and the static grabs the dust instead of flinging it into the air the way a feather duster does. That matters in allergy-sensitive offices and anywhere with sensitive electronics. Damp is for cleaning proper: worktops, doors, switches, splashbacks. The cloth wants to be barely moist, not dripping. A soaked cloth loses its grip and just spreads water around.
The fold is the detail almost everyone skips. Fold a cloth into quarters and you get eight clean working faces, four on each side. Wipe until a face looks grubby, turn to a fresh one, and keep going. Most people ball the cloth up and use the same 10cm patch for a whole room, re-depositing everything they just picked up. Folding into quarters is the difference between cleaning a surface and redistributing the dirt on it. Our teams are trained to turn the face at every new panel or section, which is a big part of why the finish on our office cleaning rounds stays consistent.
One more rule: match the fibre to the job. A flat weave for glass and stainless steel, a plush pile for dusting and general surfaces, a waffle weave for drying and buffing. Using a heavy pile cloth on a mirror leaves lint. Using a glass cloth on a greasy hob just moves the grease. Right cloth, right surface.
Cleaning with water and cutting the chemicals
Because microfibre does the mechanical work, it lets us use far less chemical than a cotton-and-spray routine. For a large share of everyday surfaces, glass, mirrors, desks, light dusting, a damp cloth and plain water gives a genuinely clean, streak-free result. That saves money on product, reduces the fumes staff breathe in, and cuts the plastic from spray bottles.
We are honest about the limits, though. Water and microfibre clean, they do not disinfect. Cleaning removes soil and most of the bacteria physically; disinfecting kills what remains. In a washroom, a food area or a healthcare setting you still need an approved disinfectant left on for its full contact time, usually somewhere between 30 seconds and five minutes depending on the product. The cloth is the delivery tool and the lifting tool, not a substitute for the chemistry when the risk is real. For heavy grease, limescale or a periodic reset we still bring in the right products as part of a deep cleaning visit. Microfibre is the workhorse for daily work, not a magic wand for every situation.
Laundering: where microfibre lives or dies
A microfibre cloth is only as good as its last wash, and this is where most organisations quietly ruin theirs. Get the laundry wrong and a cloth that should last 300 washes is useless in 20.
The rules we drill into every team are straightforward. Wash microfibre on its own, never mixed with cotton towels or mop heads, because those split fibres act like Velcro and pull cotton lint straight into the pile, clogging it. Wash warm, around 40 to 60 degrees; boil washes above 60 start to melt the polyester and destroy the split. Never use fabric softener, ever. Softener coats the fibres in a waxy film that seals up the channels, and a softened cloth stops picking up dust almost overnight, that squeaky, plasticky feel is the sign it has happened. Skip the tumble dryer on high heat too; either air-dry or use a low setting, since high dryer heat does the same melting damage as a hot wash.
Colour-coded laundry bags keep red and green cloths from ever sharing a drum, which protects the whole colour-coding system through the wash. We track roughly how many cycles a batch has done and retire cloths once they stop gripping, feel slick, or start shedding. A worn-out cloth that no longer holds a charge is worse than useless because it gives a false sense of cleaning while just moving dirt about.
Why we standardised on microfibre across every contract
Put all of this together and the case is not really about one clever fabric. It is about a system that is faster, safer and cheaper to run. A cloth that cleans with water speeds up the round and lowers chemical spend. Colour-coding gives us a defensible, auditable answer when a client asks how we stop cross-contamination between their toilets and their kitchen. Reusable cloths cut the mountain of disposable wipes and paper roll that used to fill the bins, which matters to the growing number of clients who want a lower-waste service.
The measurable wins show up on site. Fewer streaks on glass means fewer callbacks. Less airborne dust means happier people in allergy-prone offices. A clear, colour-coded method means a new cleaner can be productive on day one instead of week three. None of it is exotic. It is just doing an ordinary thing properly, every shift, on every one of our commercial cleaning contracts.

Are microfibre cloths really better than cotton or paper?
For nearly all commercial surface cleaning, yes. The split fibres lift and trap far more dust, grease and bacteria than cotton, which tends to smear, and unlike paper they are reusable for hundreds of washes. Cotton and paper still have their place for one-off spills or where a disposable is genuinely needed, but as the daily workhorse microfibre wins on cleaning power, cost and waste.
Can microfibre clean without any chemicals?
For general soil on glass, desks, mirrors and light dusting, a damp microfibre cloth and plain water gives a clean, streak-free result with no product at all. What it will not do is disinfect. In washrooms, kitchens and clinical areas you still need an approved disinfectant left on for its full contact time to kill bacteria, with the cloth doing the lifting rather than replacing the chemistry.
Why should I never use fabric softener on microfibre?
Fabric softener leaves a waxy film that fills the tiny channels the fibres rely on to grab dirt and hold a charge. Once that happens the cloth feels slick and stops picking up dust, often after a single wash. Softener is the fastest way to ruin an otherwise good cloth, so it is banned from our laundry entirely.
What do the different cloth colours mean?
Colour-coding stops a cloth carrying germs from one area to another. The common British code is red for toilets and urinals, blue for general low-risk areas like desks and reception, green for kitchens and food-prep surfaces, and yellow for washbasins and clinical surfaces. Matching cloths, buckets and mop heads by colour makes the system almost foolproof.
How long does a microfibre cloth last?
A good commercial-grade cloth, laundered correctly, will survive several hundred wash cycles, easily a year or more of regular use. Wash it hot, tumble it on high or hit it with softener and that drops to a handful of cycles. We retire any cloth once it feels slick, sheds fibres or stops gripping dust, because a worn cloth just moves dirt around.
How should microfibre cloths be washed?
Wash them separately from cotton and mops, at 40 to 60 degrees, with no fabric softener, and air-dry or tumble on low. Keep the colour codes apart in the wash using separate laundry bags so red and green cloths never share a drum. Done this way a cloth keeps its grip and its charge for its full working life.
Do you use microfibre on electronics and screens?
Yes, and dry is best for that job. A dry microfibre cloth lifts dust off monitors, keyboards and equipment using static, without moisture near the electronics and without the lint a paper towel leaves behind. For fingerprints on a screen we use a barely-damp flat-weave cloth and never spray liquid directly onto the device.
